How MB2 Dental replaced a 700-tab spreadsheet with a platform built for scale
About this video
MB2 Dental, a dental partnership organization managing over 700 offices across multiple specialties, was preparing individual P&Ls for every practice inside a single Excel spreadsheet with more than 700 tabs. The file took 20 minutes to open, was on the verge of collapsing, and created version control issues that made reliable, timely financial reporting across the portfolio nearly impossible.
OneStream consolidated all office data into one platform accessible across any device through the modern browser experience. Analysts now pull transactions for all 700 offices with a single click rather than navigating hundreds of worksheets, and dashboards roll out consistently across iPads, phones, and tablets. The result is a Finance team spending more time analyzing data and having better conversations with doctors, and less time assembling the spreadsheet that used to consume them.

Key takeaways
- A single Excel file with over 700 tabs, a 20-minute load time, and version control issues had reached its breaking point. Managing P&Ls for 700-plus dental offices in one spreadsheet was unsustainable and putting the entire reporting process at risk of collapse.
- OneStreamconsolidated all office financial data into one platform accessible to executives across any device. The modern browser experience ensures consistent, controlled dashboards whether leadership is viewing on an iPad, phone, or tablet across the entire MB2 Dental portfolio.
- Pulling transactions for all 700 offices now takes a single click instead of navigating hundreds of worksheets. That shift from manual assembly to instant data access has saved the analyst team significant time every single reporting cycle.
- Analysts now spend their time looking at data rather thanconsolidating it, which has been transformative for the Finance team. Redirecting analyst capacity from spreadsheet management to genuine financial analysis is exactly the productivitygain MB2 Dental needed at this scale.
- Better data access is enabling more informed, guided conversations between Finance teams and the doctors they partner with. Analysts can now walk into practice conversations with accurate, current financial data rather than manually assembled figures that may already be out of date.

My name is Matt Gregg and I'm the Director of Financial Operations for MB2 Dental. MB2 Dental is a dental partnership organization. We buy equity into a dental practice. We handle their accounting, we handle their finance, we handle all their taxes and they provide excellent service to their customers.
It's a net net win for the patients, for the doctor. We currently have over 700 offices and within those 700 offices we have general dentists, we have orthodontists, periodontists, endodontists, prosthodontics, oral surgeons, pediatrics.
So we have kind of a little bit of everything. We currently prepare P&Ls for every single office and our portfolio is now over 700 offices. All of that data lived within our ERP and then was taken from our ERP into Microsoft Excel into one giant spreadsheet.
Before OneStream we had one spreadsheet with over 700 tabs. You can imagine how much data was contained within that one spreadsheet. This thing took 20 minutes to open and was on the verge of collapsing.
Everyone kind of knows the classic pitfalls of doing everything in manual spreadsheets. Version control was a large issue for us. We just needed a way to be able to take all that data, consolidate it into one place and have it available to our various executives.
We've been using the modern browser experience and what it's enabled us to do is to roll out OneStream incredibly easily. The ability to be able to utilize our current dashboards across any platform, whether that's their iPad, their phone, their tablets, whatever they're looking at it at, we know that what they're going to experience we can control and guarantee that the user is going to have a good experience and get the data they need.
The return so far with our analysts has all been positive. They enjoy it. Being able to pull transactions for all of our offices with the click of a button rather than having to go to several worksheets to put it all together has saved us so much time.
Have our analysts spend more time looking at the data rather than consolidating the data has been huge for us. They like being able to start utilizing OneStream and being able to download transactions and have better guided conversations with doctors.
